Sofia's PT team runs 3 coaches and 90 clients from one portal

Brief
Sofia's PT team, three coaches working out of one gym, had grown fast. Each coach used their own mix of apps, so clients got a different experience depending on who they saw.
Programs were copied by hand, check-ins came in by text, and nobody had a clear view of which clients were slipping.
Approach
The team started with a shared plan: one app for every client, and one portal for every coach.
They set up their most-used programs in the program builder, using the Workout Library as a base. Each coach then linked their own clients.
- Programs were built once and reused across clients
- Check-ins landed in each coach's portal every week
- Odin drafted meal plans for coaches to review
- Clients paid through Stripe on their coach's link
Clients only saw their own coach, and their logs stayed private to the two of them.

Solution
Within 6 weeks, Sofia's team had:
- 90 clients linked across 3 coaches
- 12 house programs built in the program builder
- Weekly check-ins coming in through the app
- Payments set up through Stripe
Coaches spent their time coaching, not copying spreadsheets.
Results
What's next
With the portal running smoothly, Sofia's team is now:
- building a nutrition-focused program with Odin's meal plans,
- running a group challenge using the community feed,
- and onboarding a fourth coach.
